How to Assign a Farm Expense to a Category
Creating farm expense categories is only the first step in organising your farm expenses. After the categories have been created, each expense must be assigned to the appropriate category before Pigax can group the expenses correctly.
Assigning expenses to categories helps you keep related costs together. For example, expenses for veterinary treatment can be assigned to a Medication category, while expenses for building repairs can be assigned to a Farm Maintenance category.
This makes it easier to understand where money is being spent on the farm, locate specific expense records, filter expenses by category, and prepare organised information when reviewing or balancing your farm accounts.
A farm expense can be assigned to a category in two ways:
- When recording a new farm expense.
- When editing an existing farm expense.
You can also change the category of an existing expense if it was previously assigned to the wrong category or if the way you organise your expenses has changed.
Assigning a new farm expense to a category
Step 1: Open Farm Expenses
From your Pigax dashboard, open the main menu.
Click Expenses, and then select Farm Expenses.
Pigax will display the farm expense overview. This page shows all the farm expenses that have been recorded on your farm.
Step 2: Add a new farm expense
Click Add New at the top-left side of the farm expense overview.
Pigax will display a form where you can enter the information about the expense you want to record.
Step 3: Enter the expense information
Complete the required fields with the details of the farm expense.
Make sure that the information entered accurately describes the expense and the amount that was incurred.
Step 4: Select a category
Find the field labelled Category.
Click the category dropdown and select the category under which the expense should be grouped.
Choose the category that most accurately represents the type of expense being recorded.
Step 5: Submit the expense
After entering the expense details and selecting the appropriate category, click Submit.
Pigax will save the farm expense and assign it to the selected category.
The expense will now appear under that category when the farm expenses are grouped or filtered by category.
Assigning an existing farm expense to a category
You can also assign an expense that has already been recorded to a category. This option can be used when an expense was originally created without the correct category or when you want to move it from one category to another.
Step 1: Open the farm expense overview
From your Pigax dashboard, open the main menu.
Click Expenses, and then select Farm Expenses.
Pigax will display all the farm expenses that have been recorded on your farm.
Step 2: Select the expense you want to edit
Locate the farm expense whose category you want to add or change.
Click Edit beside the expense.
Pigax will open the expense form and display the information currently recorded for that expense.
Step 3: Select the new category
Find the Category dropdown on the expense form.
Click the dropdown and select the category to which you want the expense to be assigned.
If the expense was previously assigned to another category, selecting a different category will move the expense to the newly selected category.
Step 4: Save the changes
After selecting the correct category, click Submit.
Pigax will update the expense and assign it to the selected category.
The change will be reflected on the farm expense overview and when the expenses are filtered by category.
Note
A category must already exist before it can be selected when recording or editing a farm expense. If the required category is not available in the dropdown, create the category first and then return to the expense form.
